Can DreamFlow actually replace HubSpot, Mailchimp, and my other tools?

Yes. DreamFlow includes CRM, email marketing, SMS campaigns, VoIP calling, proposals with e-signatures, invoicing, automations, live chat, calendar booking, forms, reporting, and an AI assistant — all in one platform. Most customers replace 4-8 separate tools. Everything is built-in, not stitched together with integrations.

How do I move my data from my current CRM?

We support direct imports from HubSpot, Mailchimp, ActiveCampaign, GoHighLevel, Salesforce, and any CSV export. Scale and Agency plans include guided migration support — we'll help you move contacts, deals, templates, and history. Most migrations take less than a day.

Are there contracts or hidden fees?

No contracts — cancel anytime from your billing settings. No hidden usage fees either. Every plan includes email, SMS, and calling credits upfront. If you hit a limit, usage pauses and you choose whether to add a credit pack or upgrade. Nothing ever charges automatically without your explicit consent.

Yes. All data is encrypted at rest and in transit. We use Supabase (built on PostgreSQL) with row-level security, meaning each organization's data is completely isolated. We never sell or share your data. You can export or delete your data at any time.

Can I switch plans anytime?

Yes. Upgrade instantly and get prorated credit for your current billing period. Downgrade takes effect at the end of your current period. No penalties, no hoops.

What can Sally, the AI assistant, actually do?

Sally handles chat auto-replies, call transcription, email writing, proposal generation, lead scoring, form spam detection, and daily business briefings. Background AI (transcription, scoring, spam detection) runs automatically at no cost. On-demand generation (writing emails, creating proposals) uses AI credits included in your plan.

I run an agency. Can my clients each have their own workspace?

Yes. The Agency plan ($499/mo) includes 10 sub-accounts with full white-label support — your brand, your domain, your colors. Each client gets their own isolated workspace. You can manage them all from one dashboard and resell at your own prices.

What if DreamFlow doesn't work for me?

Cancel anytime during your trial — no charge, no questions. If you cancel a paid plan, you keep access through the end of your billing period. We also offer free data export so you're never locked in. We'd rather earn your business every month than trap you with a contract.

Email Sending Domain Setup

Setting up your sending domain tells email providers (Gmail, Outlook, etc.) that DreamFlow is authorized to send emails on your behalf. Without this, your campaigns and automated emails are likely to land in spam.

Why Domain Verification Matters

Deliverability — Verified domains get significantly better inbox placement.
Brand trust — Emails come from yourname@yourdomain.com instead of a generic address.
Compliance — Major email providers increasingly require SPF and DKIM for bulk sending.

Steps

Navigate to Settings > Email Connections.
Click + Add Sending Domain.
Enter your domain (e.g., yourdomain.com).
DreamFlow generates three DNS records you need to add:
- SPF Record (TXT) — Authorizes DreamFlow's mail servers to send on your behalf.
- DKIM Record (TXT) — Adds a digital signature to your emails for authenticity.
- DMARC Record (TXT) — Tells providers what to do with emails that fail SPF/DKIM checks.
Log in to your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.).
Navigate to DNS Settings for your domain.
Add each record exactly as shown in DreamFlow. Copy-paste the values to avoid typos.
Wait 5-30 minutes for DNS propagation (can take up to 48 hours in rare cases).
Back in DreamFlow, click Verify Domain.
Green checkmarks appear next to each record when verification succeeds.

Warning: Do not modify existing SPF records — merge DreamFlow's include directive into your existing SPF record. Having multiple SPF records causes delivery failures.

Tip: DreamFlow sends from mail.dreamflowcrm.com as the subdomain. Your custom domain is used in the "From" address that recipients see.

Troubleshooting

Verification pending? DNS changes can take up to 48 hours. Try again in a few hours.
SPF failed? Check that you merged (not replaced) your existing SPF record.
DKIM failed? Ensure you copied the full DKIM value — it is a long string that sometimes gets truncated.
